The proper storage of personal data is today "to be or not to be" for many companies operating within the European Union. Since 25th May 2018, all companies have had to comply with GDPR, not only to protect themselves from severe sanctions, but also to keep their customers with them. After all, 80% of people already admit that they prefer to purchase goods and services from entities that properly protect their data [1]. We suggest which safe you should choose to ensure the best protection for your confidential information.

Safes and GDPR, or data under special protection

The new European Union regulation on personal data protection has significantly changed the requirements for processing personal data. Many aspects need to be taken into account, including proper storage of information so as to ensure its confidentiality and protect it, e.g. against accidental loss, destruction or theft. Special attention is required for so-called sensitive data, which include, among others: medical records, information concerning beliefs, trade union membership or racial origin. In order to adequately protect this within the company, additional measures must be implemented, such as encryption. To ensure that the rights of data subjects are not violated, it is also necessary to follow established procedures and to equip the company with robust security measures. Documentation, confidential files and data carriers are best stored in GDPR-compliant safes.

If you want the best protection for your paper documentation, for example, it's worth investing in a certified filing cabinet that protects against both burglary and fire. This way you can be sure that confidential information will not fall into the hands of unauthorised persons or be destroyed. It is worth remembering to pay particular attention to the certificates awarded by recognised and reputable European institutions when choosing the right model. So-called "safes with increased fire resistance" are not sufficient protection.

Data media safes

In accordance with GDPR, it is also necessary to protect electronic data carriers on which companies store, among other things: the history of cooperation with customers, payment data or transactions. Hartmann Tresore offers media safes that meet the stricter legal requirements. The individual models consist of a large, pull-out and convenient drawer or several smaller drawers in which, for example, disks, memory cards, streamer tapes or CDs can be placed. When a company stores data in the cloud, it is also necessary to properly protect servers. It is recommended that they are placed in special cabinets with extensive ventilation and thermostat.

Additional security included in the price

A safe and GDPR – the choice is not only about selecting the right model to meet legal requirements. It is also worth paying attention to the locks so that they best suit our requirements, as well as taking care of proper installation and data storage procedures, which include using the safe and depositing documents and data carriers in it.
