What is worth storing in a cabinet safe?
Security in business
21 September 2021

A cabinet safe is a solid protection against an intruder who may want to steal cash, valuables, a laptop or confidential documents. Whether the safe is in a home office or a business, it should be well suited to the needs of the business and the deposit it holds. In addition to a furniture safe, it may be necessary to equip the office with a safe for documents or keys.

Cabinet safes are often mounted in a desk or in a wardrobe, which allows the safe to be well camouflaged. However, according to the modern trend, cabinet safes are usually free-standing safes fixed to the floor and constituting a decorative element of the office. These safes are often distinguished by both design and sophisticated finishing materials, as well as high anti-burglary security classes (III to V according to PN-EN 1143-1). Cabinet safes from a reputable supplier provide solid protection against theft and fire. At the same time, they adapt to the style of the office and the owner's requirements. However, it is important to know that the selection of the right container model, as well as the equipment and its size, depends primarily on the planned content to be stored in the safe. So what is worth placing in a cabinet safe?

Laptop and electronics

Many entrepreneurs use laptops every day, which are not only used for work and communication, but also contain a lot of confidential information and messages. So the theft of a computer – in addition to the loss of assets – has the potential consequences of leaking company information, contracts and employees. That's why it's a good idea to have a laptop safe in your office that can also hold small electronics or documents. Leaving a laptop on a desk may not only be risky due to possible theft, but it may also contradict the principles of RODO. In such a situation, it is difficult to consider the data stored on a laptop as 'properly' secured, even if it remains encrypted.

Bank accounts, invoices, payment information

Even small companies operate with documents that relate to payments. These may include invoices, bank account information, deposits, payments or taxes. It is a good idea to keep them in a cabinet safe or in a special fireproof document safe.

Documents related to running your business

Confidential information also includes all documents related to the conduct of business. This concerns, among others: contracts with contractors and employees, insurance policies, notarial deeds, all files with personal data of employees and contact details of contractors. It is worth protecting them in special document safes compliant with the regulations on personal data processing (GDPR). In this way, the entrepreneur both meets all legal requirements and protects the valuable data and know-how of his company from potential theft.

Digital storage media

Increasingly, companies are storing information on digital data carriers instead of physical documents. These may be: external disks, still common CDs (including important software), streamer tapes, microfilms, data backups stored on portable drives, e.g. for websites or systems. If a company has a large amount of digitally stored data, it is worth considering equipping the office with a fireproof safe for data media. It is worth knowing that digital information carriers are characterised by incomparably greater sensitivity to changes in the conditions in which they are stored, and unprotected in a fire they will be destroyed first.

Cash

Although in most cases sales and cash are deposited in a bank, there are times when a company needs cash on hand. Such money is the most attractive loot for a thief, so it should be stored in a burglar-proof office safe – either a free-standing or wall-mounted safe. We do not recommend the use of light furniture safes (less than 150 kg) in cabinets, as they are stolen and opened "at ease" outside the place of their installation. A cabinet safe can only be used to store items of inferior value. Its function is to protect against access by third parties (e.g. cleaners or office staff). In the case of large daily cash turnover in a company, it is better to equip the office with a special deposit safe. This will enable you to quickly and safely deposit banknotes without having to open the container.

Office, vehicle and spare keys

It is also a good idea to deposit keys in a safe, especially those that are rarely used, e.g. spare keys to vehicles or company premises, warehouses, etc. When you place them in a burglar-proof safe, you not only minimise the risk of them being stolen, but also lost. In the case of a large number of keys, to which several or many authorised persons in the company should have access, it is better to bet on a special safe, a key cabinet or a key depository.
